Shipment Level Checklist for Seller Premise

To assist you with creating your shipment, we encourage you to download and use the Shipment Level Checklist while preparing your products and shipment for FBA.

Labelling details

  • Carton label: All cartons must contain scannable FBA shipment/PO label barcode pasted clearly on A4 size paper to the outer side. In case this is not present or unscannable, the fulfilment centre will refuse and return the shipment at your own cost. If you do not have a thermal printer that can print on A4 size sheets, then please use LaserJet printers with good quality ink which is readable.
  • It is recommended to use A4 size sticky sheets so that the paper quality standard is maintained. If you do not have access to sticky sheets, then you may use a transparent tape and cover the barcodes neatly so that it is not damaged/faded in transit.
  • For products that require MRP labels (all products except books and tyres), you must affix a single printed MRP label to each unit of the product and the label must cover any existing details. In case of combo packs, they should have a single combined MRP label on the outermost package.
  • For products that require FNSKU/X000 labels (all products except books), you must affix the appropriate label to each unit of the product and the label must cover any existing barcodes. Multiple barcodes must not be visible on a unit. Please ensure that the FNSKU/X00 labels are printed from Seller Central. Labels printed from third-party barcode generators may not be GS1 compliant. The scanners used at fulfilment centre will not be able to scan non-GS1 barcodes.
  • For more information on the requirement above, please go to Use an Amazon barcode to track inventory.
  • For mobile phones and tablets with calling facilities, the FNSKU labels should not cover the IMEI/serial numbers of the devices. Similarly, FNSKU labels should not cover the MRP / Principal Display Panel (containing expiry date/manufacturing date).
  • No pricing information or the name of another retailer should appear anywhere on the label or the product packaging boxes/tapes used.

Stock Transfer Notes/invoice and delivery challans

While shipping your units to the Amazon fulfilment centre, please make sure that the points listed for tax compliance and FBA shipping norms are correctly mentioned in your stock transfer documents. For more information on detailed requirements, please go to Requirements for Stock Transfer Notes and Delivery Challans.

STN/invoice important points

  • Shipped from address: The ‘Bill to’ / ‘Buyer name’ should include your name and the address from where the consignment is being shipped.

    Shipped From:

    Seller XYZ

    Address (Shipped From):

  • Ship to address: This should include your name followed by “c/o Amazon Seller Services Pvt. Ltd.” and then the address of the fulfilment centre where the consignment is being shipped. If Ship To name is directly written as 'Amazon Seller Services' instead of 'c/o Amazon Seller Services Pvt. Ltd.', then the shipment will be rejected because Amazon is inbounding your shipment as a warehouse operator and for all reporting purposes, fulfilment centre is your additional place of business (branch) where you stock your inventory for sale.

    Shipped To: <Seller Name>

C/o Amazon Seller Services Pvt. Ltd.

Address of the FC (Shipped To):

  • FBA Shipment ID should be clearly mentioned on the document. A separate STN should be furnished for every FBA shipment being sent against the confirmed appointment.
  • The Stock Transfer Notes/invoice and delivery challans should carry necessary disclosures/contents as prescribed under the relevant Indian laws.
  • Multiple scannable barcodes in the product should not link to more than one ASIN.
  • Vehicle should not be late by more than 5 hours from the appointment start time.

Prevention of units missing from inbound shipment

Note: Failure to comply with the below requirements may lead to rejection of MFI cases.
  • Mention each product (ASIN) being sent as part of the FBA shipment as a different line item on the STN along with the MSKU or ASIN or FNSKU and Product Title with respective quantities of each ASINs against each line item.
  • Outer or visible carton count should be clearly mentioned on the STN/invoice. This information can either be in printed form (computerised) or hand-written. Brand/seller seal is essential for all hand-written box count. In case of any noncompliance no MFI claim will be processed. For more information on the requirement above, please go to Requirements for Stock Transfer Notes and Delivery Challans.
  • Shipments (POs) must not be in "Cancelled/Deleted" status.
  • Multiple appointments (ISA) must not be arriving in one vehicle.
  • One appointment (ISA) should not be arriving in multiple trucks.

Fulfilment centre constraints

  • If a few boxes in the shipment are damaged, then we will accept the boxes which are in good condition and will mention in POD the final unloaded box count and the ASINs which are not unloaded. In case identification of specific ASINs is difficult, the entire shipment will be rejected.
  • Units that exceed pallet dimensions – 48 inch x 40 inch x 66 inch (as per Amazon systems) cannot be stored in any of the bin types. For example, 53 inch TVs, 60 inch chimneys or if dimensionally ASINs are fitting into a pallet but are not stackable. A few models of Casio synthesiser, chairs without box packing, shipment will be rejected.
  • We will perform a sample check for ISS issues like title mismatch, image mismatch, units not on PO, UPC not linked and lacking expiry/production date prompt. If any of the above defects is identified in minimum 10% of units and at least three ASINs in the shipment, then we will sideline the shipment and inform you via e-mail about the reason for rejection. If we do not receive a response/resolution from you within two hours, then we will be forced to reject the shipment.
  • For product size related issues on the title, size mentioned on the actual product / product box needs either to match with the Title mentioned in the Amazon systems or to be a subset of the different size types mentioned in the Amazon systems.

    Example:

    Product Box Amazon system Decision
24 cm UK 12 Will be rejected
24 cm UK 12/24 cm Will be accepted
  • Vehicles that arrive later than their scheduled appointment time will have to wait for their turn. Unloading will be prioritised for vehicles that have arrived on time and late vehicles will be unloaded purely on the basis of dock availability. To avoid any delays, ask your representative on arrival to report directly to the security/guard-shack with the Appointment ID for your shipment.
  • In case there are certain time slots during the day in which you cannot deliver, call these out in the comments section of the CARP appointment request. We will try to make sure that we do not schedule appointment during those slots.
  • We allow only one vehicle per appointment. In case, your consignment is being sent in multiple vehicles, mention the number of vehicles in the comments section of your appointment request. We will schedule the appointment slot accordingly. Failure to do this may impact rejection or refusal of complete/partial shipment or unloading delays.
  • Vehicles without a valid Appointment ID will not be unloaded. Shipment carried in such vehicles will be rejected.
